# Quote Documents

> Work the letter, lines, and price for follow-on work — then ask Salma to propose edits.

# Quote Documents

Quote Documents are VH3’s working commercial record for follow-on work. Open **Quote Documents** in the sidebar, review the letter and lines, add catalog parts, check Price against the not-to-exceed (NTE) figure, snapshot a version, then ask Salma to propose edits.

<Note>
  **Approve** records an internal checkpoint. Sending the quote to the customer and capturing acceptance still happen outside this screen.

## Browse Quote Documents

1. Open **Quote Documents** in the sidebar.
2. Stay on **Live**, or switch to **Archived**.
3. Search with **Search Quote Documents…**.
4. Open a card, or use the card menu for **Reopen**, **Duplicate**, or **Archive** when those actions are available.

Each card shows customer, site, engineer, job **Ref** (the job reference your team uses), type, status, run status, total, and whether the priced net is over or under NTE.

On a phone, the list uses a tighter layout. Open a document at `/quoting/documents/:documentId`.

## Work a document

| Tab          | What you do                                        |
| ------------ | -------------------------------------------------- |
| **Quote**    | Read and edit the commercial letter                |
| **Items**    | Review quote lines; add a catalog part             |
| **Price**    | Check buckets, VAT, unpriced lines, and NTE        |
| **Versions** | Snapshot the live document, or open a past version |
| **Activity** | Follow who changed what                            |

The header shows **Total** and **Net**, plus how many lines are still unpriced. An NTE banner appears when the priced net is over or under the agreed cap. You can still **Approve** when the quote is over NTE — the banner says so.

### Quote

**Commercial Narrative** is the letter:

* **Overview** — headline and summary of works
* **Source Job** — collapsed by default; expand when you need the originating job
* **Background**, **Recommended works**, **Why needed**, **Exclusions**, **Assumptions**, **Validity**, **Next steps**

Edit on this tab. If someone else saved first, refresh before you keep typing.

### Items

**Quote Lines** lists description, quantity, unit, sell, and flags such as POA, TBC, or indicative. Indicative labour still shows its sell and joins the draft total — review those hours before you approve.

**Add part** searches the parts catalog by make, part number, or title. Set the quantity, then add the line.

### Price

The Price tab breaks out labour, materials, and the other buckets, then net priced, VAT %, unpriced counts, total, and the NTE row.

### Versions

Create a version to checkpoint the live document. Opening an older version is read-only. Salma still works on the live document.

### Activity

The Activity tab is the timeline for this document.

## Lifecycle

Actions depend on the document’s status and your permissions. Typical ones:

* **Approve** — internal checkpoint (see the note above)
* **Accept** / **Decline**
* **Reopen** / **Duplicate** / **Archive**

## Ask Salma

On a Quote Document, **Ask Salma** is scoped to that document — the letter, lines, and price in front of you.

* **Desktop** — right-hand split pane
* **Phone** — full-screen Ask Salma

In the chat header: **New chat**, **Sessions**, and **Close**. Sessions belong to this document.

Ask in plain language. Answers stream live, with thinking chrome and compact tool chips while Salma works. After a turn, a proposal card can preview narrative and line changes — **Apply** or **Discard**.

In the composer, **+** opens saved prompts. The mic on the composer records a voice note.

## Automate an estimate

From n8n, Salma › Generate Estimate starts a Quote Run for a job. You must supply recipient emails on the node; they are not taken from the site contact. The result lands here as a Quote Document. See the [n8n community node](/n8n-node) and [node reference](/agent-kits/n8n-node-reference).
